How to transcribe an interview fast

Manual transcription takes four to six hours for every hour of interview. Here is how to cut that down to minutes and still get accurate, quotable text.

Record the interview well

  • Put the phone or microphone between you and the guest, about 30–50 cm from each speaker.
  • Choose a quiet room; turn off music, fans and notifications.
  • For remote interviews, record each side locally if possible, or record the call on the computer instead of through the speakers.
  • Say the date, the guest’s name and that you have their consent at the start of the recording.

Transcribe it with speakers and timestamps

  1. Share the recording to Transcribe.ai on iPhone or iPad, or drag it onto the Mac app.
  2. Choose the language. Add the guest’s name, places and specialist terms to the vocabulary.
  3. Start the transcription and wait a few minutes.
  4. Rename the speakers (for example “Interviewer” and “Dr. Silva”).
  5. Listen to any doubtful passage straight from the transcript and correct it.

Pull quotes and themes

Every line has a timestamp, so you can cite the exact moment a quote was said. For research, export DOCX and code the text in your QDA software, or ask Claude through the MCP connector: “Find every place where participants mention pricing and quote them with timestamps.”

Yes. When exporting you can choose to include speaker names and timestamps.
Is it accurate enough for quotes?
With clear audio it is very accurate, but always check a quote against the audio before publishing; you can play any line from the transcript.
